Team Overview and Job responsibilities
We are seeking Technical Procedures Support specialist for our client’s Transmission Business Unit. This role will report directly to the Jointing and Land Installation client’s Manager. The successful candidate will oversee the collection, organization, and distribution of technical and project-related documentation within the project team. He/she will collaborate daily with the Installation Engineering team, Project Management, Engineering, NWC, HSE, and Quality departments. Although the position is based in Milan, the candidate must be willing to travel both domestically and internationally.
1. Collection and Issuance of Technical Documentation
Collecting Documentation: Gather all necessary technical documents from various departments such as Project Management, Engineering, NWC, HSE, and Quality.
Issuing Documentation: Prepare and issue documents for the Jointing and Land Installation Department. This includes:
Methods of Statement: Detailed descriptions of how specific tasks or processes should be carried out.
Technical Reports: Comprehensive reports on technical aspects of the project.
Final Installation Reports ("As-built"): Detailed reports on the final state of installations, created with the help of Jointing/Site Managers.
Presentations for Technical Discussions: Prepare presentations to facilitate technical discussions.
Supervising Subcontractors: Oversee subcontractors to ensure they produce the necessary documentation related to installation works.
2. Participation in Technical Meetings
Attend Meetings: Actively participate in technical meetings, discussions, and presentations to stay informed and contribute to project progress.
3. Management of Documentation Issue Process
Coordination with Document Controllers: Work closely with document controllers to manage the flow of documents.
Responding to Comments: Address comments and feedback on documents, making necessary revisions.
Submission Process: Oversee the entire document submission process, from initial revision to final approval by the client.
4. Assistance in Document Generation
Collaboration with Other Functions: Work in coordination with HSE, Quality, Engineering, and other departments to assist in creating various documents, including:
Risk Assessments: Identify and evaluate potential risks associated with the project.
Presentations for Hazid/Risk Assessment Sessions: Prepare presentations for hazard identification and risk assessment sessions.
Engineering Documents: Finalize engineering documents related to installation tasks.
Requests for Quotation: Assist in preparing requests for quotation for project-related purchases.
Inspection and Test Plans: Develop plans for inspecting and testing project components.
This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with multiple departments to ensure accurate and timely documentation.
Knowledge and familiarity with of all basic and common software tools like Microsoft Project, Word, Excel, AutoCAD, and Internet use.
English written and spoken fluent, other languages will be considered a plus.
Availability to travel, domestic and abroad.
Flexibility and adaptability to changes.
Driving license.
Remote working may be partually accepted
